The Problem

A firm running high case volume rarely fails on legal skill. It fails on throughput. Intake that loses a matter between the phone call and the file. Documents that live in three places and reconcile in none. A calendar that depends on one person remembering something.

The tell is always the same: the practice runs on a handful of people who hold the process in their heads. It works until one of them is on vacation during a deadline week, and then it does not.

For firms handling examinations under oath at volume, the exposure is sharper still. EUO practice is repetitive by design, which means a weakness in the process reproduces itself across every file until someone maps it.

What We Deliver

  • Examinations under oath (EUO) preparation and process optimization
  • Case workflow streamlining and document operations
  • Practice management consulting: billing, intake, and capacity planning
  • Technology stack design for legal-specific tools and ethical compliance

Who We Serve

Plaintiff firms, defense practices, and solo attorneys handling high case volume, including insurance defense teams managing EUOs at scale and firms scaling from regional to multi-state.

Why Acacia Lake

We understand the cadence of legal work: court schedules, discovery deadlines, client expectations. Every recommendation is calibrated to that reality, including the regulatory environment and privilege boundaries you operate under.

How An Engagement Runs

  1. 01

    Discovery

We map how a matter actually moves through your firm, from first contact to closed file, including the steps nobody documented. We sit with the people doing the work rather than the org chart.

  2. 02

    Diagnosis

A written assessment of where matters stall, where the process depends on individuals rather than systems, and where your tooling is creating work instead of removing it.

  3. 03

    Execution

We rebuild the workflows that need rebuilding, write the procedures the firm has been running without, and configure the stack around how the practice actually works.

  4. 04

    Stewardship

Quarterly review against the throughput measures we set at the start, plus a standing line for the decisions that come with growth: a new practice area, a second office, a volume client.

What You Receive

  • A documented map of matter flow, with the stall points and single points of failure marked
  • Written procedures for intake, document operations, and EUO preparation
  • A capacity model that tells you what your current staffing can actually carry
  • A tooling assessment with specific recommendations and a migration sequence
  • Training materials your team keeps and uses after we are gone

Common Questions

Are you practicing law or giving legal advice?
Neither. We work on the operations of the practice — workflow, intake, document handling, capacity, tooling. Every legal judgment stays with your attorneys, and we structure engagements so that line is never ambiguous.
How do you handle privileged material?
We scope engagements to avoid contact with privileged content wherever the work allows, and where contact is unavoidable we operate under the same confidentiality terms your firm would require of any vendor. Most of our engagements run under NDA by default.
Will this mean replacing our case management system?
Often not. A great deal of what looks like a software problem is a process problem that migrating would carry along with it. We say so when that is the case, even though a migration would be the larger engagement.
We are a small practice. Is this only for large firms?
No. Solo and small practices frequently get the most out of this work, because the same throughput gains land on a much thinner staffing base.
Do you work on-site?
For the discovery phase, usually yes — the useful detail is in watching the work happen, not in a questionnaire. Later phases run well remotely.
